Cancellation Policy

1. Overview
We understand that business needs change. This policy outlines how cancellations are handled across each of our service types. We ask that all cancellations be submitted in writing to ensure a smooth and documented offboarding process.
2. Monthly Retainer Services (XANA)
For ongoing monthly retainer engagements:
- You may cancel at any time by providing 30 days' written notice prior to your next billing date
- If notice is received less than 30 days before your next billing date, you will be charged for the upcoming month and retain access through the end of that period
- There are no long-term contracts - cancellation is always an option with proper notice
- Upon cancellation, we will transfer all assets, credentials, and documentation belonging to you within 7 business days
3. Sprint Engagements (CAST)
For sprint-based engagements:
- Cancellation before the sprint begins: a full refund of any fees paid will be issued
- Cancellation after the sprint has commenced: fees for work completed to date are non-refundable; any unearned portion will be refunded on a pro-rata basis
- We reserve the right to deliver completed sprint assets in full at the point of cancellation
4. Bespoke Project Engagements (Studio Build)
For custom project engagements:
- Either party may terminate the project with 14 days' written notice
- Fees for completed and approved milestones are non-refundable
- Work in progress at the time of cancellation will be billed at an agreed hourly rate or as a pro-rata portion of the relevant milestone
- All work completed will be delivered to you upon settlement of outstanding fees
5. Cancellation by Anqor Studios
We reserve the right to cancel or suspend services in the following circumstances:
- Non-payment of invoices after 14 days past the due date
- Breach of our Terms of Service
- Situations where continuing the engagement would violate applicable laws
In the event of cancellation by Anqor Studios for reasons other than client breach, a pro-rata refund for unused prepaid services will be issued.
6. How to Cancel
To initiate a cancellation, send a written request to hello@anqorstudios.com with the subject line "Cancellation Request" and include your name, company name, and service type. We will confirm receipt within 2 business days and outline the next steps.
7. Offboarding
Upon cancellation, we will:
- Provide a handover document covering all active systems and automations
- Transfer ownership of all relevant accounts and assets
- Offer a one-hour offboarding call to walk through the handover
- Retain your data for 90 days post-cancellation before securely deleting it, unless you request earlier deletion
